Terms and Conditions for Participants

Terms and Conditions for Participants:

 
1. Booking & Payment - A non-refundable deposit of £250 is required to secure your place at the retreat. We must receive full payment no later than 60 days before the retreat start date. Your booking is confirmed on receipt of the deposit and a digitally signed Health Disclosure, Liability Waiver and Release Form.
 
2. Cancellations & Refunds - If you cancel 31 days or more before the retreat, you will receive a 70% refund of the total amount. Cancellations 30 days or fewer before the retreat are non-refundable. In the unlikely event that we cancel the retreat, we will give you a full refund of all payments you have made directly to us. Please note that we cannot refund other costs, including your flights and pre-booked transfers.
 
3. Travel & Insurance - You are responsible for arranging your own travel to and from the retreat and your own travel insurance. Travel insurance must include cover for sports/fitness activities and personal belongings. We recommend covering delays, cancellations, medical treatment and loss or theft.
 
4. Health & Safety - You must complete our digital Health Disclosure, Liability Waiver and Release Form and our digital Fitness Questionnaire before the retreat starts, disclosing any medical conditions or injuries. Participation in all activities is at your own risk. You are responsible for your own physical wellbeing.
 
5. Participation in Activities - The fitness and padel activities are optional. You may choose to opt out at any time. Instructors may refuse your participation if they believe it's unsafe based on your condition or behaviour. We expect all our guests to behave respectfully toward staff, coaches and other participants.
 
6. Liability Waiver - By attending the retreat, you accept full responsibility for any injury, illness, damage, or loss that may occur. The organisers and instructors are not liable for accidents, injuries or health issues that arise during or after participation in activities.
 
7. Accommodation & Facilities - We will provide specific accommodation details and villa addresses no later than two weeks before departure. Any damage caused by a guest will be charged accordingly. We expect our guests to respect the retreat properties and shared spaces, maintaining cleanliness and order for everyone's comfort.
 
8. Conduct - We reserve the right to remove any guest who poses a risk to others, disrupts the experience or fails to follow the code of conduct. You will not receive any refund in such cases.
 
9. Photos & Media - We may take photos or videos during the retreat for promotional purposes. Let us know in advance if you do not consent to this.
 
10. Data Processing & Storage - We will not share your data with any third parties without your permission. We use your contact details to send you information about your booking and to keep you updated about ACTivate Fitness & Padel Retreats. You can opt out of promotional emails using the unsubscribe button. We use your personal, health and fitness information and preferences to tailor your retreat experience and to help us safeguard you and other participants.

 
10. Changes to the Programme - We will keep changes to a minimum, but we reserve the right to modify the schedule or activities due to weather, instructor availability or safety concerns.
 
11. Legal Jurisdiction - These terms are governed by UK law. Any disputes will be settled in the UK.
